📤 Sharing a Document

Learn how to share documents in There via email or link, customize messages, schedule sends, and track recipient engagement.

With There, sharing a document is simple and fast. You can send a document via email or generate a shareable link for recipients. Below, you'll find how to share your documents efficiently.

Sharing via Email

Adding Recipients

When you click the Share button, a window opens where you can add recipient emails. You can:

  • Add email addresses as primary recipients, in CC (carbon copy), or BCC (blind carbon copy).

  • Select recently used emails that appear as suggestions when you start typing.

  • Copy a list of invitees from your calendar and paste it into the email field—addresses will be recognized automatically.

Customizing the Email

Email Subject

By default, the email subject is the document title, but you can modify it anytime.

Writing the Message

You can write a simple message or use advanced formatting options:

  • Press the spacebar to activate AI and generate a context-aware email. Example prompts:

    • "Write a short professional email encouraging clients to read the document, include emojis and a bullet list of three points."

    • "Draft an engaging message for internal collaboration with a friendly touch."

  • **Type **/ to access formatting options: headings, bullet points, or numbered lists.

  • Highlight text to modify it :

    • with AI : Improve writing, correct spelling, translate, make it shorter, longer, or simpler, adjust the tone (formal, casual, direct, etc.), add emojis.

    • Apply formatting: bold, italic, underline, strikethrough, text color, alignment, etc.

    • Insert links.

It is not mandatory to enter text in the email body to send the document.

Scheduling the Email

At the bottom left of the email, you can choose to send it immediately or schedule it:

  • Type in natural language: "In 3 hours".

  • Select a quick suggestion like "Next Monday at 9 AM" or "Tomorrow at 9 AM"

Email Reception

Recipients receive an email from notifications@there.do with:

  • The sender’s name.

  • A document preview.

  • The estimated reading time.

Recipient Replies: If a recipient replies to the email, the response goes directly to you. There will not be notified.

Sharing via Link

If you prefer sharing via a link, click “Copy Link” at the bottom right of the sharing window. This link can be shared through any communication channel (WhatsApp, Teams, Slack, Email, etc.).

Link Sharing Options

There are two link-sharing options:

  • “Invited users and your organization can view”: invited users who received an email invitation can read the document. Logged-in members of your organization can also edit it.

  • “Anyone with the link can view”: anyone with the link can access and view the document.


Reading Tracking

In the Reading Tracking view, accessible from the document’s right panel, organization members can see:

  • Email delivery status: whether it was sent successfully or failed.

  • Email opened: when recipients open the email.

  • Document read: track when recipients view the document.

  • Anonymous views: if the document was accessed via a public link.

This tracking feature helps you identify who has viewed the document and follow up if needed.
