Once created, the attendance block displays:

The options bar (at the top of the block) allows you to enable/disable the following elements:

Calendar:
Click on a date to see the attendance status at that time
Create a new attendance record for the current session
Even if you duplicate the document, the history of previous attendance records remains accessible. This continuity allows you to:
Maintain tracking of cumulative absences
Have an overview across multiple meetings
Not lose data when creating new documents
Click "+ Add group"
Write the group title (for example: "01 - Structural Work - Company Name")
Add a free description (company address)
Formatting: Use formatting options (bold, italic, colors)
Organization: Describe the company, its role, its work package
Reorganization: Use the left handle to move groups
Via the left handle of each group:
Add a group or contact
Move up/down
Duplicate the group
Delete the group
In a group, click "+ Add contact"
Fill in the information:
Name/First name: Free field with possible formatting
Position: Add the role or position in the same field
Email: Automatically transformed into a clickable link
Phone(s): Direct links to call
For each contact, you can specify:
Attendance:
Present
Absent
Excused
Summons:
"Summoned" or "Invited" checkbox
Optional time field (e.g.: "2:30 PM")
Distribution:
Enable/disable inclusion in automatic distribution list

Add a contact or group
Add an additional phone number

Open the previous meeting report and duplicate it
At the top of the block, select the meeting date

When sharing the document (blue "Share" button), two options automatically appear:
"Contacts marked for distribution"
Adds all emails of contacts with @distribution status enabled
Updated automatically according to block modifications

No oversight: The list updates automatically
Time saving: No need to manually create distribution lists
Synchronization: Changes in the block are reflected in sharing
Unlike traditional PDF tables, the attendance block automatically adapts:
Desktop Computer: Complete 3-part view with all details
Mobile: List view, shortened status labels, email and phone coordinates as clickable icons
Direct call: Click on a number to call
Direct email: Click on an email to compose a message
Group by stakeholder type (PM, Owner, Contractors)
Or by work packages (Structural work, Interior work, Finishes)
Use explicit titles and clear descriptions (Package 01 Structural work - Company name, and on the next line, the company's postal address)
Update attendance at the beginning of meetings
Mark as @distribution contacts who should systematically receive the report
Use summons with time for specific interventions
Regularly check cumulative absences to identify repeat offenders
Use this information for potential penalties
Duplicate the document to create the next meeting's report
Update contacts if necessary (new stakeholders, email changes)
Archive old attendance records while preserving history
A: The attendance record history is automatically preserved in the new document. You can continue to see cumulative absences from previous meetings even after duplication.
A: Yes, you can create multiple blocks (for example: one for the general meeting, another for a specific intervention). Each block keeps its own settings and history.
A: All document readers see the same attendance information. If you want a different "public" version, create a separate document with the information to share.
A: There is no technical limit. However, beyond 20-25 contacts, consider enabling the "Statistics" column and organizing your groups well to remain readable.
A: Yes. On mobile, clicking a number initiates the call. On computer, this opens your default telephony application (WhatsApp, Teams, etc.). Emails open in your usual mail client.
A: The block is an integral part of the document. To export it, use the global PDF export or copy-paste the block into a new there.do document.
A: No, only users who are organization members have editing rights and can modify attendance status. Readers see information in view-only mode.
